This notice explains what the MARLIN Robotics forum keeps about you, who can see it, and how to have it deleted. The forum is run by PolyMate Private Limited (“PolyMate”, “we”) in Singapore.
If you are under 18, you may want to read this with a parent, guardian or teacher.
What everyone can see
- your username (please don’t use your real name);
- your team label, if you have one;
- your posts, and the images you add to them.
Your profile page is hidden from everyone by default.
What only PolyMate staff can see
- Your email address. Only forum administrators can see it. Moderators cannot.
- Your IP address (the internet address you connect from). Only administrators can see it.
We never show these on the forum.
Why we keep it
- Email address: to log you in, reset your password and send the notifications you choose.
- IP address: to stop spam and abuse.
- Posts: posts are the forum. They help other teams with the same questions.
We do not sell your data, show adverts, or use tracking or analytics tools.
Where it is stored
- On PolyMate’s own servers in Singapore.
- Forum emails are sent through Microsoft 365 (Asia Pacific region). Microsoft handles your email address only to deliver them.
- No other company receives your data. Social logins, Gravatar and AI features are switched off.
How long we keep it
- Your account and posts: until you delete your account. Once a year we anonymise accounts that have not been used for more than 12 months. Anonymising removes the email and IP address and keeps the posts.
- Backups: made daily and kept for 7 days. Encrypted copies are kept on a second PolyMate server in Singapore, also for 7 days. Anything deleted is gone from all backups within 7 days.
Deleting your account
- Go to your Preferences → Account → Delete my account, or
- message @marlin-support and staff will do it for you.
You can also ask us to remove particular posts.
Your rights
Under Singapore’s Personal Data Protection Act (PDPA), you can ask to see the personal data we hold about you, ask us to correct it, or withdraw your consent. Contact our Data Protection Officer.
